George Dennis Memorial Auction
Terms and Conditions
Last updated: [DATE]
Please read these Terms and Conditions carefully before placing a bid in the George Dennis Memorial Auction.
By registering for the auction or placing a bid, you confirm that you have read, understood and agreed to these Terms and Conditions.
1. About the auction
The George Dennis Memorial Auction has been organised following George’s tragic passing in a road traffic accident.
The purpose of the auction is to raise funds for George’s family during this incredibly difficult time.
The auction is organised by:
Ongr Juniors FC Email: hello@ongarjuniorsfc.co.uk Telephone: 07956694082
This is a fundraising auction and is not a raffle, lottery or prize draw.
2. Auction proceeds
All money received from successful auction bids will be passed to George Dennis’s family, subject only to any unavoidable payment-processing, delivery or platform costs that have been clearly disclosed.
No buyer’s premium or additional administration fee will be charged unless this is clearly stated on the relevant auction listing before a bid is placed.
This appeal is being organised to support George’s family and is not being conducted on behalf of a registered charity.
Payments and winning bids are therefore not eligible for Gift Aid.
3. Who may bid
Bidders must:
- be at least 18 years old;
- provide accurate and current contact information;
- have the legal capacity to enter into a binding agreement;
- use a valid email address and telephone number; and
- comply with any age, location or eligibility restrictions stated on an individual auction item.
The organiser may ask a successful bidder to provide reasonable proof of identity or age before releasing an item.
The organiser reserves the right to refuse or remove a bidder where there are reasonable concerns about fraudulent activity, false information, bid manipulation, abusive behaviour or non-payment.
4. Auction dates
The auction will open at:
25th July 2026
The auction is expected to close at: when final bid has been made
All times displayed on the website are UK time unless stated otherwise.
The organiser may extend, postpone or bring forward the auction closing time where reasonably necessary because of technical problems, exceptional circumstances or matters outside the organiser’s control.
Any significant change will be published on the auction website or communicated to registered bidders where reasonably possible.
5. Auction items
Auction items have been generously donated by individuals, businesses and community organisations.
The organiser will make reasonable efforts to ensure that photographs, descriptions, measurements, restrictions and other information are accurate. However, photographs are for illustration and colours or appearances may vary depending on lighting, photography and screen settings.
Many items may be donated, handmade, pre-owned, signed or unique. Any known damage, limitations or relevant conditions will be included in the item description where reasonably possible.
Bidders should read the complete item description before bidding and contact the organiser before the auction closes with any important questions.
6. Placing a bid
Each bid is an offer to purchase the auction item at the amount entered.
Bidders are responsible for checking the bid amount carefully before submitting it.
Bids must be made in the minimum increments shown on the website. The website may reject a bid that does not meet the required increment or any reserve price.
A bid must not be placed:
- as a joke or without a genuine intention to pay;
- to artificially increase an item’s price;
- on behalf of another person without their permission;
- using false contact or payment information; or
- in cooperation with another person to manipulate the auction.
Bidders should not assume they have been outbid until this has been confirmed by the auction website.
7. Withdrawing or correcting a bid
Bids cannot ordinarily be withdrawn simply because a bidder has changed their mind, entered a higher amount than intended or later decided that they no longer want the item.
A bidder who believes that a genuine and obvious error has occurred must contact the organiser immediately at hello@ongarjuniorsfc.co.uk
Any request to withdraw or amend a bid will be considered at the organiser’s discretion, subject to the bidder’s statutory rights.
The organiser is not required to remove a bid where doing so could unfairly affect other bidders or the integrity of the auction.
8. Reserve prices
Some auction items may have a reserve price.
Where the highest bid does not meet the reserve price, the item does not have to be sold. The organiser may contact the highest bidder to discuss whether an agreed purchase can be completed, but neither party will be obliged to proceed unless a separate agreement is reached.
Where no reserve price is stated, the item will normally be offered to the highest valid bidder at the end of the auction.
9. Winning bids
The highest valid bidder at the time an auction item closes will normally be declared the winner.
The website displaying a bidder as the highest bidder does not, by itself, guarantee that the item has been won.
A winning bid will be confirmed by email, telephone or another written notification from the organiser.
A contract for the purchase of the item is formed when the organiser sends confirmation that:
- the bidder has won the item;
- the bid has been accepted; and
- payment is required.
The organiser may reject or cancel a bid where there is evidence of a website error, fraudulent activity, bid manipulation, duplicate bidding, incorrect item information or another serious irregularity.
10. Payment
Successful bidders must pay the full winning amount within 48 Hours of receiving the winning-bid notification.
Payment must be made using one of the payment methods specified by the organiser.
The bidder is responsible for ensuring that payment details are correct and that sufficient funds are available.
An item will not be released, delivered or made available for collection until cleared payment has been received.
Where payment is not received by the deadline, the organiser may:
- contact the bidder with a final payment request;
- cancel the winning bid;
- offer the item to the next-highest bidder;
- reopen the item for bidding; or
- make alternative arrangements considered fair and appropriate.
Repeated or deliberate non-payment may result in the bidder being prevented from participating in the remainder of the auction.
11. Collection and delivery
Collection or delivery arrangements will be stated on each auction listing or agreed with the winning bidder.
Unless otherwise stated:
- items must be collected from Fyfield Sports Academy
- collection must take place by 31st July 2026;
- bidders are responsible for their own collection and transportation arrangements; and
- delivery, postage, packaging or courier costs are not included in the winning bid.
Where delivery is offered, any additional cost will be clearly communicated to the winning bidder before dispatch.
The winning bidder must provide a safe and accurate delivery address.
The organiser is not responsible for delays caused by a courier, postal service or incorrect delivery information supplied by the bidder, except where the law provides otherwise.
Items that are not collected within the agreed period may be offered to another bidder or returned to the donor after reasonable attempts have been made to contact the winning bidder.
12. Vouchers, tickets and experiences
Vouchers, tickets, services, appointments and experience-based auction items may be subject to additional conditions imposed by the donating business or provider.
These may include:
- expiry dates;
- booking requirements;
- availability restrictions;
- age restrictions;
- excluded dates;
- maximum participant numbers;
- location requirements; or
- requirements to follow the provider’s own terms and safety instructions.
The winning bidder is responsible for checking these conditions before bidding.
Bookings are subject to the availability of the relevant provider and should be made directly with that provider unless the listing states otherwise.
Vouchers and experiences cannot normally be exchanged for cash.
13. Alcohol and age-restricted items
Where an auction item contains alcohol or another age-restricted product, the bidder and person collecting or receiving the item must meet the legal age requirement.
Proof of age may be requested.
Age-restricted items will not be released to anyone who cannot provide satisfactory proof of age or who appears to be collecting the item for someone underage.
14. Cancellation and refunds
Winning bids should be made in good faith and bidders should expect to complete their purchase.
However, nothing in these Terms and Conditions excludes or limits any consumer cancellation, refund or product rights that apply under UK law.
The rights available to a bidder may depend on matters including:
- whether the person or organisation supplying the item is acting as a trader;
- whether the item is being sold privately;
- the type of item;
- whether the item is personalised, perishable or date-specific; and
- the circumstances in which the contract was formed.
Where a bidder believes they have a legal right to cancel, they should contact hello@ongarjuniors.co.uk as soon as possible and provide their name, item details and reason for contacting the organiser.
Refunds will not ordinarily be offered merely because:
- the bidder changed their mind where no statutory cancellation right applies;
- the bidder failed to read the item description;
- the bidder is unable to collect the item;
- a voucher or experience was not booked before its expiry date; or
- the bidder no longer wants the item.
This section does not affect the bidder’s statutory rights.
15. Faulty or incorrectly described items
Where an item has been materially misdescribed, damaged after the auction or is not supplied as agreed, the winning bidder should contact the organiser promptly.
The organiser will review the circumstances and, where appropriate, arrange a reasonable solution. This may include contacting the item donor, arranging an alternative, cancelling the purchase or issuing a refund.
Nothing in these Terms and Conditions limits any rights or remedies that cannot legally be excluded.
16. Item withdrawal and auction cancellation
The organiser may withdraw an item before or after bidding has begun where:
- the donor withdraws the item;
- the item is lost, damaged or no longer available;
- an inaccurate or misleading description has been published;
- there is a technical or pricing error;
- there are concerns about safety, legality or authenticity; or
- continuing the auction would be inappropriate or unfair.
Where a paid-for item cannot be supplied, the winning bidder will receive a refund of the amount paid for that item.
The organiser may cancel or suspend the entire auction where serious technical, legal, safety or operational circumstances make this necessary.
17. Technical problems
The organiser will make reasonable efforts to keep the auction website available and functioning correctly.
The organiser cannot guarantee uninterrupted access or that every bid will be successfully received.
Bidders are encouraged not to leave bids until the final seconds of the auction.
Where a technical problem may have materially affected an item, the organiser may extend the closing time, reopen bidding, cancel affected bids or take another reasonable step to ensure fairness.
The organiser’s decision regarding technical errors and the conduct of the auction will be final, subject to any rights provided by law.
18. Liability
Nothing in these Terms and Conditions excludes or limits liability for:
- death or personal injury caused by negligence;
- fraud or fraudulent misrepresentation; or
- any other liability that cannot legally be excluded.
Subject to the above, the organiser will not be responsible for indirect or unforeseeable losses arising from participation in the auction.
The organiser is not responsible for the acts, services or availability of independent businesses that have donated vouchers, services, tickets or experiences, although reasonable assistance will be provided if a genuine problem arises.
19. Personal information
The organiser may collect information including bidders’ names, email addresses, telephone numbers, postal addresses, bidding history and payment status.
This information will be used to:
- administer bids;
- identify and contact successful bidders;
- process payments;
- arrange collection or delivery;
- prevent fraud or misuse;
- keep appropriate financial and auction records; and
- deal with questions, complaints or legal obligations.
Personal information will only be shared where reasonably necessary, such as with a payment provider, delivery provider or donated-experience provider.
Bidder information will not be added to a marketing list unless the bidder has been given a clear choice and has agreed to receive marketing communications.
Further information is available in the website’s Privacy Notice.
20. Complaints
Questions or complaints concerning the auction should be sent to:
Ongar Juniors FC Email: hello@ongarjuniorsfc.co.uk Telephone: 07956694082
Please include the bidder’s name, the auction item and a clear explanation of the issue.
The organiser will make reasonable efforts to investigate and respond fairly and sensitively.
21. Changes to these terms
The organiser may update these Terms and Conditions where reasonably necessary.
Changes will not normally apply retrospectively to a completed winning bid unless the change is required by law or benefits the bidder.
The latest version will be published on the auction website together with its revision date.
22. Governing law
These Terms and Conditions are governed by the laws of England and Wales.
Any dispute will be subject to the courts of England and Wales, except where applicable consumer law allows a bidder to bring proceedings in another part of the United Kingdom.
